
EAP Financial Database
Upload and Import
We've created a new excel file will all of the new account fees based on accounts due a CPI increase. We now need to upload this data and import it into the EAP financial database so that the database contains new, accurate current year data. Here are the steps:

Save the newly created Excel spreadsheet. Next, Save As the same spreadsheet and name it CPI_Import_YYYY (the latter being the new CY).

Simplify the spreadsheet as follows:

Only these five fields are needed: Col A (D_Organization), Col B (D_OrgID), Col C (D_employees), Col H (D_PEPMFee_new), Col J (D_ValueofOTHERContracts_new). Hold down Ctrl and select those columns. Copy them (Ctrl-C). Open a new Excel spreadsheet. Select Paste Values 123 (the left choice in the paste dropdown). Expand the column widths so you can view them.​

Add a new column F and label it CY. Enter the new CY value in that field and fill down.

Add a new column G and label it OrgID_CY_temp. Enter the following value in the first row of this new field: =CONCAT(B2,F2). Fill the formula down.

Add a new column H and label it RecordID. Copy the values in Col G. Select the same rows in Col H and choose Paste Values 123 (the left choice in the paste dropdown).

Delete Col G.

Save the file.

Open Caspio EAP Financial Database. Go to Tables.

Select Import at top right.

Choose file. The file should upload successfully. Click Next.

Choose app we want to import objects into as "EAP Financial Database"

Select Sheet1 (of Excel spreadsheet).

Under Action, choose Append.

Under Destination Object choose Income_Account_Details. Click Next.

Map the fields.

Click Import.

Open the Details Table within Caspio to scan that import worked correctly.

IMPORTANT: Edit the DataPage, "Account Details Current Year". Edit. Hit Next 4 times to go to Configure Search Fields. Select the field in the left list, "D_CY". Select the Advanced Tab. Midway down the page on the right, change the Default Value to the new calendar year. Click Finish.
